Sharing an Excel file as XLSX means the recipient can modify data, view formulas, change formatting, and see hidden sheets. Converting to PDF produces a read-only document showing exactly what you want to show: only the data and formatting you have prepared, without exposed formulas, without the ability to change numbers. For financial reports, client budgets, quotes, price tables, and any document where data has official or commercial character, PDF is the appropriate distribution format.
Yes. Charts embedded in Excel sheets (bar, line, pie, scatter, etc.) are rendered as vector images or high-resolution images in the resulting PDF. Charts maintain their colors, labels, legends, and proportions. Shapes, SmartArt, and other graphical elements are also preserved. The visual result of the PDF is faithful to how the sheet looks in Excel with active print settings.
Spreadsheets in Excel can be much larger than a printed page. Pagination in PDF conversion is controlled by the Print Area setting (defined in Excel) and manual or automatic page breaks. If no print area has been defined in the Excel file, the converter will use the entire sheet with automatic pagination. To precisely control which cells appear and how they paginate, configure the Print Area and page breaks in Excel before converting.
Yes. You can convert the entire Excel workbook (all sheets) to a multi-page PDF, or just the active sheet, or a selected subset of sheets. When converting the entire workbook, each sheet becomes a section of the PDF. Sheets hidden in Excel are not included in the PDF unless explicitly selected.
By default, only cells within the defined print area are included in the PDF. Cells outside this area — even if they have data — do not appear in the PDF. If no print area is defined, Excel (and by extension the converter) uses cells containing data with automatic pagination. Completely empty cells in extreme rows and columns are automatically omitted.
Google Sheets files can be exported in XLSX format from Google Drive (File → Download → Microsoft Excel) and then converted to PDF. You can also export directly to PDF from Google Sheets (File → Download → PDF), but Google's converter sometimes applies its own pagination rules.
